According to the Erasmus+ Charter, students at Heidelberg University of Education who study at universities abroad as part of Erasmus+ are entitled to "full recognition of the activities satisfactorily completed".
The EU Commission and the National Agency provide universities with various supporting documents and templates for implementation. Heidelberg University of Education uses these document templates and defines the procedures for study visits abroad in such a way as to ensure a smooth process for the planning and implementation of study visits and, in particular, recognition.
All documents required for mobility abroad can be found on the homepage of the International Office or in Stud.IP (International Outgoing Students Erasmus+ working group).
Erasmus+ students conclude an Online Learning Agreement (OLA) before starting their studies abroad. This document is created via the
The OLA is agreed in writing between the person studying in the Erasmus+ programme, the host partner university and Heidelberg University of Education and is binding. The OLA entitles the student to recognition of credits that have been completed and verified by a transcript of records (ToR) from the partner university.
Recognition shown in the ToR for the degree programme at Heidelberg University of Education is only possible for entire modules. The study abroad programme should therefore be planned in such a way that entire modules of the respective subject are studied abroad. Deviating from this, module components can also be replaced by studying abroad, provided that the respective module examination is carried out at Heidelberg University of Education. Corresponding arrangements are made with the module supervisors and recorded in Annex OLA 1 (Preliminary Agreement on the Recognition of Study Achievements). Appendix OLA 1 is mandatory if recognition of modules or module components is planned. The Online Learning Agreement (OLA) must also indicate the module for which recognition is intended (e.g. by module number).
The OLA comprises the following two sections in particular:
- Table A - Before the mobility: Entry of all study components planned at the partner university
- Table B - Planned recognition: Entry of the modules and, if applicable, module components at Heidelberg University of Education for which recognition is to be granted
If changes to the study programme are necessary, these must be documented and agreed in the Online Learning Agreement (OLA) via the
Modules are recognised by the Academic Examination Office of Heidelberg University of Education. The International Office will send the certificates:
- complete Online Learning Agreement (OLA)
- Preliminary agreement on the recognition of academic achievements (Annex OLA 1)
- complete Transcript of Records (ToR)
to the Academic Examinations Office for final processing. The Academic Examinations Office issues the student with a certificate of recognition. This completes the recognition process. Feedback is only sent to the International Office if there is a need for consultation on the part of the Academic Examinations Office.
Partial recognition is carried out by the module coordinator of the respective faculty on presentation of the relevant certificates:
- complete Online Learning Agreement (OLA)
- Preliminary agreement on the recognition of academic achievements (Annex OLA 1)
- complete Transcript of Records (ToR)
The person responsible for the module issues the student with a certificate of recognition. The student submits the proof of recognition to the International Office by e-mail (PDF). Deadline: within one week of recognition. The student is independently responsible for the implementation.
The procedures for the recognition of study visits abroad, particularly in the context of exchange programmes, largely correspond to those in the Erasmus+ programme. It is recommended that a Learning Agreement is also concluded outside of the Erasmus+ programme.
In the case of competences acquired abroad that were not agreed in a Learning Agreement or in the case of a deviation from the Learning Agreement, the module coordinators of the subjects concerned are responsible for preparing the recognition. The procedures for (partial) recognition are similar to those in Erasmus+. The procedure description for the recognition of competences from the higher education sector must be observed where applicable. The conversion of grades is carried out by the Academic Examinations Office.
